Acceptance of Terms

By creating an account or using the Hubrix ("Service"), you agree to these Terms of Service and our Privacy Policy. If you are using the Service on behalf of an organization, you represent that you have authority to bind that organization to these terms.

If you do not agree to these terms, you may not use the Service.

Description of Service

Hubrix is an enterprise AI platform providing:

• AI-powered chat with multiple language model providers (Anthropic Claude, OpenAI GPT-4o, Google Gemini)
• Document intelligence and RAG (Retrieval-Augmented Generation)
• Translation studio, deep research, bulk processing, and AI agent tools
• Single Sign-On (SSO) integration with Google and Microsoft
• Data Connectors for Google Drive, OneDrive, and SharePoint
• Headless REST API for third-party integrations
• Team workspace and collaboration features

We reserve the right to modify, suspend, or discontinue any part of the Service at any time with reasonable notice.

Accounts and Registration

To use the Service, you must register for an account. You agree to:

• Provide accurate and complete registration information
• Maintain the security of your account credentials
• Promptly notify us of any unauthorized access to your account
• Not share your account credentials with third parties
• Not create more than one account per person without our permission

You are responsible for all activity that occurs under your account.

API Keys: API keys generated through the Service are your responsibility. Do not share API keys in public repositories or insecure locations. We store only SHA256 hashes of API keys and cannot recover lost keys.

Acceptable Use Policy

You agree to use the Service only for lawful purposes. You may not use the Service to:

• Generate, transmit, or store illegal, harmful, or offensive content
• Infringe on intellectual property rights of any party
• Transmit spam, malware, or any malicious code
• Attempt to gain unauthorized access to our systems or other users' accounts
• Reverse engineer, decompile, or disassemble any part of the Service
• Resell or redistribute access to the Service without our written consent
• Use the Service in any way that violates applicable Dutch or EU law
• Process special categories of personal data under GDPR without appropriate safeguards

We may suspend or terminate accounts that violate this policy without prior notice.

Data & Privacy

Your use of the Service is also governed by our Privacy Policy, which is incorporated into these Terms.

Your Data: You retain ownership of all data you upload, input, or create through the Service ("Customer Data"). You grant us a limited license to process Customer Data solely to provide the Service.

Data Location: Customer Data is processed and stored on servers located in the Netherlands (EU), unless you have specifically contracted for on-premise deployment.

AI Provider Processing: Certain features use third-party AI providers (Anthropic, OpenAI, Google). These providers process prompts and responses under Zero Data Retention (ZDR) agreements where available. Review their respective privacy policies for details.

Connected Services: When you connect Google Drive, OneDrive, or SharePoint, we access only the files you explicitly select for import. We do not store cloud provider tokens beyond their operational lifetime.

GDPR: We comply with the General Data Protection Regulation (EU) 2016/679. Enterprise customers may request a Data Processing Agreement (DPA) by contacting us at info@hubrix.ai.

Billing & Payment

Subscription Plans: Paid plans are billed monthly in advance. Prices are listed on our pricing page and may be subject to change with 30 days notice.

AI Usage Credits: Plans include a monthly credit allocation. Credits are consumed based on AI model usage. Unused credits do not roll over to the next month. Additional credits may be purchased.

AI Provider Costs: Subscription fees do not include underlying AI provider costs (Anthropic, OpenAI, Google). These are billed separately at provider rates plus our applicable service markup.

Payment Processing: Payments are processed by Stripe. We do not store payment card information. By providing payment details, you authorize us to charge your payment method for the agreed subscription amount.

Refunds: Subscription fees are non-refundable except as required by Dutch consumer protection law. Unused credits purchased separately are non-refundable.

Free Trial: New accounts receive a 14-day free trial with 200 credits. No credit card is required for the trial period.

Intellectual Property

Our IP: The Hubrix platform, including software, design, trademarks, and documentation, is owned by Hubrix Consulting VOF and protected by applicable intellectual property laws.

Your IP: You retain all rights to your Customer Data and any outputs generated from your specific prompts and data. You are responsible for ensuring your use of AI-generated content complies with applicable laws.

Feedback: Any feedback, suggestions, or ideas you provide about the Service may be used by us to improve the Service without obligation to you.

Limitation of Liability

To the maximum extent permitted by Dutch law:

• The Service is provided "as is" without warranties of any kind, express or implied
• We do not guarantee uninterrupted, error-free, or completely secure operation of the Service
• AI-generated outputs may be inaccurate, incomplete, or inappropriate — always verify critical outputs independently
• Our total liability to you shall not exceed the fees paid by you in the 3 months preceding the claim
• We are not liable for indirect, incidental, special, or consequential damages

Nothing in these Terms limits liability for death, personal injury, or fraud caused by our negligence.

Termination

You may cancel your account at any time through the account settings or by contacting us at info@hubrix.ai.

We may suspend or terminate your access to the Service:

• For violation of these Terms or our Acceptable Use Policy
• For non-payment of applicable fees
• If required by law or regulation
• If we discontinue the Service (with reasonable notice)

Upon termination, your right to use the Service ceases immediately. We will retain your data for 30 days after termination, after which it will be permanently deleted. You may request a data export before termination.

Governing Law & Disputes

These Terms are governed by the laws of the Netherlands. Any disputes arising from these Terms or your use of the Service shall be subject to the exclusive jurisdiction of the courts of Rotterdam, Netherlands.

For consumer users within the EU, you may also access the European Online Dispute Resolution platform at ec.europa.eu/odr.
